Weekly huddle agenda (30 minutes)

Rotate note-taker. One person runs time. Decisions end in a named owner + a due date.

0:00–0:05 — Temperature check

  • Wins from last week (1 each, max 1 sentence)

0:05–0:10 — Numbers (fast)

Review the smallest set that matches your layer (adjust with HQ):

  • Teams launched / in formation
  • Volunteers newly recruited or trained
  • Contacts or conversations completed (define consistently)
  • Events executed or scheduled
  • Social proof-of-work units shipped

0:10–0:18 — Lane updates (3 minutes each)

Order: Events → Social → Relational

Each coordinator answers:

  1. What shipped?
  2. What is blocked?
  3. What is the one priority before next huddle?

0:18–0:24 — Cross-lane coordination

  • Pick one joint moment in the next 14 days (event + relational invites + social promotion).
  • Confirm single ask for the public (avoid seven competing CTAs).

0:24–0:28 — Leadership development

  • Name one person to recruit or coach toward a coordinator lane.
  • Assign a shadow for an upcoming task.

0:28–0:30 — Close

  • Confirm next huddle time + agenda owner.
  • Push notes to your single source of truth channel/doc.

Optional add-on for state/county layers (+15 minutes, monthly)

  • Fractal audit: where are we missing a triad?
  • Retire busywork that didn’t recruit last month.
